Accounting Clerk - Grants & Billing
Department: Accounting, Records & Payroll
Location: Oklahoma City, OK
Position Overview & Responsibilities
OMRF's Accounting team is seeking a detail-oriented and proactive professional to support key financial operations related to grants and contracts. This position plays a vital role in maintaining the accuracy and integrity of financial records by managing invoicing, tracking payments, and ensuring compliance with funding requirements. The ideal candidate will bring strong organizational skills, a solid understanding of financial processes, and a commitment to timely and accurate work. Responsibilities include, but are not limited to:
- Accounts Receivable: Manage the accounts receivable process by tracking invoices issued to clients or customers, ensuring timely collection, and following up on overdue accounts. Maintain accurate records of payments and outstanding balances to ensure cash flow.
- Grants Billing: Prepare and submit invoices for grant-funded projects and track and follow up on payments from funding organizations, ensuring reimbursement for eligible expenses.
- Data Entry for Grants: Accurately enter and maintain records of grant-related data, including documentation required for grants management.
- Subcontracting Agreements: Review and interpret the billing terms as required for each sub-agreement and maintain proper financial documentation related to subcontracting agreements.
- Bank Deposits: Process company deposits accurately and ensure a timely recording of all deposit-related transactions.
Minimum Qualifications
- High school diploma and at least three years of experience in accounts receivable, billing, or related financial operations, or equivalent education and experience.
- Proven ability to manage invoicing, payment tracking, and financial documentation with accuracy.
- Strong attention to detail and excellent organizational skills.
- Proficiency in accounting software and Microsoft Office Suite, especially Excel.
- Ability to maintain confidentiality and manage sensitive financial information.
- Effective communication skills for working with internal teams, clients, and external funding organizations.
Preferred Qualifications
- Knowledge of billing processes, invoicing, and financial compliance standards.
- Strong problem-solving skills and the ability to make independent decisions.
Work Hours
- Typically, Monday through Friday, 8:30AM-5:00PM.
