College/Department Information
The Medical College of Georgia is one of the nation's largest medical schools by class size, with 260 students per class. The educational experience is anchored by the main campus in Augusta, regional clinical campuses for third- and fourth-year students across the state and a second four-year campus in Athens in partnership with the University of Georgia. MCG's expanding partnerships with physicians and hospitals across Georgia currently provides about 350 sites where students can experience the full spectrum of medicine, from complex care hospitals to small-town solo practices. MCG and its teaching hospitals also provide postgraduate education to more than 500 residents and fellows in 50 different Accreditation Council for Graduate Medical Education-approved programs. Our researchers and clinicians focus on what most impacts the health of Georgia's and America's children and adults, including cardiovascular biology and disease, cancer, neurosciences and behavioral sciences, public and preventive health, regenerative and reparative medicine, personalized medicine and genomics. Our physician faculty also share their expertise with physicians and patients at about 100 clinics and hospitals statewide.
Job Summary
This position is to provide counseling to prospective, current and rejected MCG applicants ( approx. 3,500 per year) as well as being the primary responsible for timely processing of these files for admissions committee review (evaluate applicant data for required pre-requisite coursework, tuition classification, letters of recommendation), protect the privacy of applicants and ensure timely and accurate processing of all applicant files. This position is to maintain quality and completeness of all applicant files, to respond to all applicant inquiries via email, phone and in person. The individual in this position will participate in local recruitment activities and selected recruitment at designated targeted schools throughout the state. Serve as primary liaison for current and prospective applicants with the Office of Admissions.
Responsibilities
The duties include, but are not limited to:
Ensure accuracy of all files within the AMP application system for designated applicant group and ensure all of these files are complete well in advance of final submission deadline (Aug 1 for early decision and December 1 for regular decision applicants); ensure prior applicant information is available and complete within AMP system.
Ensure completion of all accepted applicant files within applicant files within designated applicant group to prepare for matriculation (final transcripts, signed acceptance documents, signed technical standards...).
Process any applicant status changes in a timely fashion and notify admissions team (senior Admissions Counselor, Director of Admissions and Associate Dean of Admissions) orally and in writing of any status changes (e.g., applicant withdrawals).
Maintain strict confidentiality of all applicant information.
Maintain working knowledge of MCG Admissions requirements and MCG Offerings (curriculum, student activities...).
Assist with daily transfer of student files from AMCAS to AMP and into BANNER.
Determine GA residency status for current applicants; maintain working knowledge of GA tuition residency requirements and necessary paperwork required for residency determination.
Maintain student Admin email account daily to ensure timely response to designated applicant group questions (up to 40+ daily); contact students via phone when necessary and document conversations within student file in AMP system.
Manage applicant residency documents, transcripts, assessments, Letters of Recommendations, application updates for designated applicant group.
Assist with priority processing of MD/PhD applicants.
Serve as back-up to the Senior Admissions Counselor in his/her absence: maintain processing of applicants in MCG initiative groups; assist with MMIs (assist with MMI overview for applicants, assist with preceptor check-in and check-out to maintain accurate work log; assist with equipment needs during MMI, assist with applicant assignment and rotations during MMIs)
Provide cross coverage for Admissions Counselor in his/her absence.
Assist with daily office duties (phone calls, emails, copies, cleaning...).
Alternate with Admissions Counselor and Senior Admissions Counselor in assisting with setting up and participating in Admissions Committee Meetings.
Assist with MCG Admissions Recruitment and planning.
Assist the Senior Admissions Counselor and Director of Admissions with recruitment materials including but not limited to print media, web based media, admissions bulletin, admissions website
Assist with coordination of MCG students for recruitment purposes (prospective first look tours, admissions recruitment videos, Revisit Day for accepted applicants, and tours during MMI during recruitment season)
Targeted recruitment at designated universities and colleges within the state of Georgia- ability to build relationships with pre-health advisors and assist with developing pre-health advising within designated institutions
Targeted recruitment of high schools and middle schools within the CSRA region and state of Georgia
Maintain travel authorization (TA) forms and travel expense statements (TES) for all work related travel
Be responsible for maintaining all recruitment materials for transport to designated institutions
Enter detailed information from recruitment visits into the AMP prospect module (number of students, pre-health contacts...)
Must have knowledge of AAMC traffic and recruitment rules and be able to make critical decisions regarding applicant counseling, rejection and pre-requisite requirements, Travel and recruitment within the state and locally.
Assist with any other needed recruitment activities (including but not limited to ReViait Day, MCG's Igniting the Dream of Medicine annual conference, SEEP program, pre-matriculation program')
Perform all other related duties/tasks as assigned.
Required Qualifications
Bachelor's degree or higher from an accredited college or university and five years of direct work with admissions applicants, higher education and/or administration.

Salary: Minimum $21.83/hour - $27.26/hour
Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position
