Job Description

The Clinic Coordinator, working under the supervision of the Clinic Director, performs management, coordination, and scheduling duties for the Interprofessional Community Clinics (ICC) Counseling Practicum Clinic (CPC), in the College of Health (COH). The CPC provides training opportunities for graduate students in the Department of Counseling Psychology, Social Psychology, and Counseling’s (CPSY) APA (American Psychological Association) accredited doctoral program in counseling psychology and the MPCAC (Masters in Psychology and Counseling Accreditation Council) accredited master’s program in clinical mental health. Through the CPC, graduate student trainees work with clients under the supervision of licensed psychologists and counselors, providing outreach programming and in-person and telehealth mental counseling services to individuals of all ages, couples, and families in Muncie and greater Indiana. This position offers the ability to work flexible hours including evenings, in a supportive work environment. Occasionally, evening hours are required.

Job Function:

Minimum Education:

Associate degree or equivalent in secretarial or office management or related field.

Preferred Education:

Bachelor’s degree.

Minimum Experience:

At least one year of office administration or related experience.

Preferred Experience:

Previous experience working in a HIPAA compliant medical/clinical setting; Management and supervisory experience in a health-care setting.

Duties and Responsibilities:

  • Provide administrative supervision and oversight of Graduate students (and others working in the Counseling Practicum Clinic (CPC) and Interprofessional Community Clinics (ICC).
  • Demonstrate excellent customer service skills and professionalism when scheduling and managing client appointments for the CPC and ICCs and instruct trainees on developing and implementing similar skills.
  • Use and provide training, monitor usage, and maintain electronic health electronic records (EHR) and paper records storage to ensure HIPAA compliance. Monitor student and faculty submission of CPC documents, including client health records and other CPC-related documentation.
  • Use and provide training, troubleshoot, and manage usage of various clinical software and online programs (e.g., B-Line, MyOutcomes, Sonia, VPN, OneDrive and Zoom HIPAA compliant accounts). Monitor use and proper functioning of computers, laptops, iPads, and clinic Wi-Fi. Serve as the liaison between the CPC and ICC IT support.
  • Provide administrative oversight of graduate practicum courses.
  • Manage financial accounts, records, and expenditures.
  • Create client, trainee, supervisor, and system reports for clinic leadership
  • Participate in clinic meetings with clinic leadership, graduate students, faculty instructors, and/or staff.
  • Follow, implement, and monitor adherence to CPC and ICC safety and emergency procedures.
  • Maintain regular and predictable attendance.
  • Perform other related duties as assigned.
