Job Description

Summary

The Department of Dermatology is looking to recruit an enthusiastic, organized, and motivated appointment scheduler for cosmetics and/or surgical procedures in an outpatient specialty clinic. The position requires patient education and navigation throughout the patient's journey, including educating patients about the procedure and scheduling the procedure using the department's protocols for scheduling. The candidate will work closely with physicians, practice manager, and other schedulers. The candidate will work Monday through Friday, 8 hours daily. The ideal candidate will be organized, motivated, and passionate about providing excellent customer services to our patients.

Job Duties

  • Schedules cosmetic and surgical procedures as assigned, assuring that every referred patient will have a confirmed procedure date scheduled.
  • Provides instructions before the procedure during the scheduling call and notifies patient of date/time/arrival time.
  • Requests additional information from referring physicians.
  • Works closely with dermatology cosmetics, laser, and surgical teams to fill patient appointments.
  • Schedules appointments from the internal referral order work que, as well as, referrals from external physicians.
  • Works closely with MD for any patient special instructions, including procedure locations and prior clearances.
  • Performs cross-checks for procedural or scheduling conflicts to ensure accuracy of appointment.
  • Acquires clinical notes, pathology reports, and photos, as needed prior to appointment.
  • Maintains confidentiality of passwords/codes for all information systems and patient information, as observed by supervisor.
  • Verifies and confirms patient identification and patient information including patient precautions and other vital information on all documentation, as observed by supervisor.
  • Communicates in an appropriate manner as outlined in the patient care manual.
  • Coordinates closely with cosmetic and laser team, including physicians and lead medical assistants, regarding the scheduling of cosmetic and/or laser procedures.
  • Coordinates referrals for laser/cosmetic procedures with referring physician staff.
  • Requires extensive knowledge of cosmetic and laser procedures for appropriate scheduling of appointments. Ideally candidate would have prior cosmetic and/or laser experience or being willing to learn.
  • Coordinates closely with Mohs surgical team, including physicians and staff regarding the scheduling of surgical appointments.
  • Coordinates surgery appointments with other physicians in Plastic Surgery, Otolaryngology, and Opthalmology for shared surgical cases/patients with Dermatology and other departments as instructed by Dermatology surgeons.

Minimum Qualifications

  • High school diploma or GED.
  • Three years of relevant experience.

Preferred Qualifications

  • Prior scheduling experience is a plus.
  • Pleasant and helpful phone demeanor is a must.
  • Candidate must be highly organized and capable of handing a high volume of phone calls.
  • Must be adept in multitasking.
